Tasks:
– preparation of the visit concept and plan
– coordination of all preparatory activities
– selection and cooperation with subcontractors: advertising agency (visual design, customer invitation projects, awards, certificates), hotels, logistics
– ensuring smooth flow of information for the project team, support team, customers and invited employees
– continuous communication and presentation of work status to the formal visit protocol coordinating staff for WHQ and UCEEA region
– communication with the executive assistants team and Managing Directors of UCEEA participating in the meetings
– assisting during the main business meeting and UCEEA Operating Review
– preparation for the business part (presentations, documents, reports)
Brief outline of the visit concept:
1. Logistics, transportation, accommodation for all event participants (~100 people)
2. Preparation of technical support and main business meetings for 3 days (as per protocol requirements)
3. Customer Event – dinner with the President (~70 Key Clients)
4. Employees Reception – breakfast with the President (~100 employees) – recognitions and awards for employees, Q&A session
5. Organization of events and leisure time between formal meetings.
